Business Background

 

Client is a holding company of one of the biggest Indian conglomerates. Client is primarily focused in dealing with the popular brand of automobiles. The HO of client is located at Dar es Salaam, Tanzania. It has an automobile showroom and service station at Dra es Salaam, Tanzania. client imports parent brand of vehicles from India and sells them in Tanzania. They also import the spare parts of the parent brand of vehicles and maintain adequate inventories at their level for the workshop operation. The workshop is adjacent to the showroom and is into repairing, servicing and selling of spare parts for the parent brand vehicles.

 

Apart from this primary business client is also into import and distribution of food grains and pharmaceutical products, chemicals, glass, etc.. They import the items from various countries and sell them in the Tanzanian market. All these businesses are carried out under the banner of same client currently.

 

Objectives of ERP Implementation

 

The objective of the implementation of ebizframe ERP was to automate and integrate the functionality of client across their entire line of business and get real time information to enable informed decision-taking by their management. ebizframe ERP is a web based application and all the users from various locations can punch their data directly to the central server while accessing the ERP thru the internet. The implementation of this ERP would by default, enable the management to get the real time information about every line of business on the click of a mouse. This would also ensure discipline within the organization and avail the best practices of the ERP. ebizframe ERP is developed on a 3 – Tier Architecture and hence the users have no direct access to the data. This feature of the ERP was a critical requirement of client so that the data is not accessed by anyone who does not have the rights or requirement to do so. The previous system in organization was not integrated with all the departments and line of businesses and therefore the information was available in bits and pieces. There was no link with the spares and the workshop which used to hamper the servicing of the vehicles and ultimately the reputation of the company and customer satisfaction was at stake. The objective to implement ebizframe ERP was to eliminate these constraints and give the management a better control of their operations.

Earlier all the departments were working on individual data sheets and had no integration with each other. Even the data of the various lines of business were isolated islands of information which had no connection with each other and eventually it used to take a lot of time to consolidate it to present it to the management.

Implementation of ERP started in December 2010. Another Automobile baseline was taken as the starting point and it was decided to roll it out with minimum changes as required by the users. ebizframe was customized as per the requirements finalized by the HOD’s and some re-engineering of their business processes was also adopted as the organization moved from a decentralized / semi computerized system to an on-line centralized system in a controlled operations environment. Sales, Purchase, Inventory, Fixed Assets, HR & Payroll and Finance modules are online now. With the completion of the required changes by the HOD’s of various line of business along with the customization and new development of reports, client went live in April 2011.

The entire operations of organization have become online and integrated in s centralized architecture. The management has full control of their operations now and the information for any line of business and the consolidated Balance Sheet is available at the click of a mouse. Better customer relationship management is now possible as all the vehicles are serviced on time because of the availability of spares and better inventory control which eliminated the scope of over stocking of spares looking at their lead time as the spares are mostly imported from India. This has also made the reporting much easier for the users as they do not have to consolidate the data from various departments and check the accuracy of the data provided to them.
